Accessibility is one of those topics teams swear they’ll “get to after launch”… right up until a customer can’t check out, a sales deal gets blocked by procurement, or a demand letter lands in your inbox.

The tricky part is that accessibility work feels like a bottomless pit: tons of guidelines, expensive audits, and unfamiliar tools. But most accessibility failures (and most of the legal risk) come from a small set of repeatable issues that small teams can realistically test and fix.

This guide gives you a practical, small-team workflow for testing against WCAG 2.1 AA (the most commonly referenced standard in policy and litigation). You’ll learn what to test, which tools to use, what you can automate, and how to prioritize fixes when you can’t do everything at once.

Why accessibility testing is different from “normal” UX testing

Regular UX testing asks: Can typical users complete tasks efficiently?

Accessibility testing asks: Can users with disabilities complete tasks using assistive tech (screen readers, keyboard-only navigation, voice control, switch devices), and does your UI expose enough semantic information to support them?

Your product can be “usable” for mouse + eyesight users and still be unusable for:

  • someone who navigates by keyboard only
  • someone using a screen reader
  • someone zoomed to 200–400%
  • someone who can’t distinguish low-contrast UI

The result: you’ll miss critical failures unless you explicitly test for them.

WCAG in one minute (POUR)

WCAG is organized around four principles:

  • Perceivable: users can perceive content (alt text, captions, contrast)
  • Operable: users can operate the interface (keyboard, focus, time limits)
  • Understandable: users can understand content and interactions (labels, errors)
  • Robust: assistive tech can interpret your UI (valid HTML, correct ARIA)

If you build your tests around POUR, you’ll cover the majority of real-world failures.


Reality check: litigation and “accessibility widgets”

Small teams often ask: “Can’t we just add an overlay widget?”

In practice, widgets/overlays are not a compliance shortcut. Many lawsuits are filed against sites using overlays, and accessibility professionals broadly discourage relying on them as your primary solution.

Also important: lawsuits and demand letters tend to focus on repeatable, easy-to-spot problems like missing alt text, bad contrast, and inaccessible forms—exactly the stuff you can detect with a simple testing workflow.

Bottom line: invest in a code-level accessibility baseline and a testing habit, not a widget.


The small-team accessibility toolkit (mostly free)

You do not need enterprise tooling to catch the issues that matter most.

1) Browser-based automated scanners

Use at least one of these on every key page/template:

  • WAVE browser extension (WebAIM): great visual overlays and quick triage
  • axe DevTools (free tier): strong automated checks and DevTools integration
  • Lighthouse (built into Chrome): helpful baseline accessibility report

Automated tools typically catch a large chunk of the automatically testable criteria, but not everything.

2) Screen readers (this is the “manual testing” you can’t skip)

Pick one desktop screen reader and learn it well:

  • VoiceOver (macOS) — built-in
  • NVDA (Windows) — free and widely used

If you only do one: start with VoiceOver if your team is Mac-heavy, or NVDA if you want to mirror common real-world usage.

3) Keyboard-only testing

Unplug your mouse (or just don’t touch it) and navigate using:

  • Tab / Shift+Tab
  • Enter / Space
  • arrow keys (menus, radios, sliders)
  • Esc (close dialogs)

If any core flow is impossible via keyboard, that’s a stop-the-line issue.

4) Contrast checking

  • WebAIM Contrast Checker (fast)
  • Colour Contrast Analyser (desktop)

Targets:

  • normal text: 4.5:1
  • large text: 3:1
  • UI components/icons: 3:1

The essential checklist (the stuff that breaks real users)

If you’re resource-constrained, prioritize these. They’re both high-impact and commonly cited in accessibility complaints.

1) Alt text for meaningful images (WCAG 1.1.1)

  • meaningful images need descriptive alt
  • decorative images should use alt=""

Bad:

Better:

<img src="chart.png" alt="Line chart showing a 40% revenue increase from January to December 2025">

2) Color contrast and “invisible” UI (WCAG 1.4.3, 1.4.11)

Common failures:

  • light gray text on white backgrounds
  • placeholders that look like labels
  • error states indicated only by red
  • buttons that disappear on hover/focus

Test default, hover, active, and disabled states—especially for form inputs and buttons.

3) Keyboard navigation and focus visibility (WCAG 2.1.1, 2.4.7)

What to verify:

  • every interactive element is reachable via Tab
  • focus order follows the visual layout
  • focus is clearly visible (don’t remove outlines without replacing them)
  • no keyboard traps (you can always tab out)

If you have dialogs/modals:

  • focus should move into the modal when it opens
  • focus should be trapped inside the modal while open
  • focus should return to the triggering element when the modal closes

4) Forms: labels, errors, and instructions (WCAG 1.3.1, 3.3.1, 3.3.2)

Rules of thumb:

  • every input needs a programmatic label (<label for> or aria-label / aria-labelledby)
  • placeholders are not labels
  • errors must be announced and associated to fields

Minimal accessible pattern:

<p id="email-error" class="error">Enter a valid email like [email protected].</p>

With:

  • aria-invalid="true" on the input when invalid
  • aria-describedby="email-error" linking the error message

5) Headings and page structure (WCAG 1.3.1, 2.4.6)

Screen reader users often skim by headings.

Check:

  • one clear H1
  • logical hierarchy (don’t jump from H2 to H4)
  • headings that describe content (“Pricing” not “Section 3”)

6) Link text that makes sense out of context (WCAG 2.4.4)

Avoid “click here” / “read more”.

Good:

  • “Download the 2026 pricing guide (PDF)”
  • “Read the accessibility policy”

7) Zoom/reflow and responsive layouts (WCAG 1.4.10)

Test:

  • 200% zoom
  • 400% zoom

Look for:

  • overlapping text
  • horizontal scrolling for main content
  • hidden controls (menus that become unreachable)

If you want a concrete starting point, do this in one hour:

  1. Pick 3–5 critical pages (home, pricing, signup, checkout, contact)
  2. Run axe and WAVE on each page
  3. Fix all “Errors” and the most severe contrast/form/keyboard issues
  4. Do a keyboard-only run through your primary flow
  5. Do a screen reader smoke test:
    • can you find main navigation?
    • can you identify headings?
    • can you complete the form?
    • are errors announced?

Document what you find in a simple table:

What to automate (and what not to)

Automation is how you stop regressions.

Automate:

  • axe-core checks in CI for critical templates
  • lint rules that prevent obvious failures (e.g., missing alt in React)
  • unit/component checks for reusable UI components

Don’t pretend you can automate:

  • whether alt text is meaningful
  • whether a heading structure is logical
  • whether a screen reader experience is understandable

These require human testing.

Practical automation options

  • jest-axe: component tests for React/Vue
  • Playwright + axe: scan key routes in a headless browser
  • Pa11y: CLI scanning

The goal is not “perfect compliance.” The goal is “we catch major violations before they ship.”


Prioritization for small teams (risk + user impact)

When you can’t fix everything, prioritize like this:

Priority 1 (fix immediately)

  • keyboard traps / inability to complete key flows
  • missing labels on forms in signup/checkout
  • severe contrast failures on primary text/buttons
  • broken focus states
  • missing alt text on product images or key informational images

Priority 2 (next sprint)

  • heading hierarchy cleanup
  • better error messaging and suggestions
  • link text improvements
  • skip-to-content link and landmark structure

Priority 3 (ongoing)

  • polish of ARIA live regions
  • more complete screen reader optimization
  • deeper auditing across long-tail pages

When it’s worth paying for help

  • you sell B2B and procurement requires accessibility documentation
  • you’re in a high-risk industry (e-commerce, restaurants, education)
  • you’ve received a demand letter
  • you have complex UI (data tables, drag-and-drop, custom editors)

  • Do you test with screen readers and keyboard-only navigation?
  • Do you provide developer-ready tickets (code examples, selectors, reproduction steps)?
